Shiftly tailors account features based on your role. Venues, or hosts as we call you, manage rosters, timesheets, and staff directly, whereas third-party providers gain access to export tools and client-specific controls.

Choose this if you're managing your own staff, rosters and timesheets through Shiftly.

Signing up to Shiftly

Start by navigating to <a href="http://host.shiftly.au/locations" rel="noopener noreferrer" target="_blank">host.shiftly.au/</a> or

If your organisation operates more than one business you can add this by navigating to the ‘All businesses’ screen.

To get started, enter the name your business is recognised as under its ABN.

<h5>Step 2: Select your industry awards</h5>

Shiftly uses industry awards to ensure your business is set up correctly for compliance with Fair Work regulations. Awards help us determine:

Setting the correct award now avoids pay errors and ensures Shiftly can calculate rates and shifts correctly from the start.

⚠️&nbsp; As the host, you're responsible for selecting the correct award. If the wrong award is applied, you may be held legally accountable for underpayment or misclassification.

👉&nbsp;&nbsp;Not sure which award applies to your business?Use the <a href="https://services.fairwork.gov.au/find-my-award" rel="noopener noreferrer" target="_blank">Fair Work Ombudsman’s Award Finder</a> to check. If you’re still unsure, speak with your bookkeeper or accountant before proceeding.

<h5>Step 3: Add your venue’s physical location</h5>

Shiftly requires your venue’s primary address to complete your account setup. This location will automatically be named after your business. You can edit it later from your location profile via ‘Locations’ tab if needed.

<h6>Navigating to Billing &amp; Payment</h6>

Start by navigating to <a href="https://host.shiftly.au/business-account/billing-and-payment" rel="noopener noreferrer" target="_blank">host.shiftly.au/business-account/billing-and-payment</a> or

<ol><li>Open the account dropdown in the top-right corner of your dashboard</li><li>Select ‘Billing and payment’ under Business Settings</li><li>Click ‘Add a payment method’</li></ol>

Shiftly is free to use for staff rostering and management, but fees apply when using our Xero integration and onboarding features. Setting up billing ensures smooth access to these paid services.

<ul><li>$5/month per connected Xero organisation</li><li>$7 one-off fee per employee onboarded into Xero</li></ul>

By setting up billing and connecting to Xero, you agree to this pricing structure.

Adding a payment method allows you to activate paid functionality such as onboarding employees and syncing organisations with Xero.

⚠️&nbsp;&nbsp;This payment method will be used for all paid actions, including Xero integrations and onboarding fees.

If you need to switch payment methods for a business, you can either select an existing method or add a new one and make it active.

To replace an existing payment method:

<h5>Updating card or account details</h5>

If your card has expired or changed, you can update your saved payment information directly from the billing screen.

⚠️&nbsp; This change will apply across all businesses using that payment method

You can remove a payment method at any time, as long as an alternative method is assigned to all linked businesses.

Shiftly won’t allow you to remove a payment method if:

<ul><li>It is currently assigned to another business within your account</li><li>No alternative payment method exists</li></ul>

Before removing a method, make sure all businesses have another payment method in place.

<h5>Setting up your Xero organisation integration</h5>

Shiftly integrates with Xero to simplify payroll and onboarding. Once connected, you can export approved timesheets in seconds, sync employee records, and reduce admin time across your business.

Before connecting, please:

<ul><li>Review how the Xero connection works → Read the Xero integration guide</li><li>Confirm you’re happy with the integration pricing:</li><li>&nbsp;$5/month per Xero organisation connected</li><li>Our Xero integration also offers paperless employee onboarding. This can be set up by following the <a href="https://www.shiftly.au/resources/onboarding-new-employees-xero" rel="noopener noreferrer" target="_blank" style="color: rgb(208, 2, 27);">Onboarding new employees with Xero</a>&nbsp;guide. Paperless employee onboarding fees are:</li><li>$7 per employee onboarded (includes digital forms and live status updates)</li><li>Setting up billing and payment</li><li>To connect to Xero, you’ll first need to set up billing and payment on your account. If billing isn’t set up yet, you’ll be prompted to add your details in a modal on the next screen before completing the connection.</li></ul>

Once you have completed the steps above, you can click ‘Get started’.

To link your Xero account with Shiftly, you'll need to authenticate your organisation using a secure Xero login.

<ol><li>Click the ‘Connect to Xero’ button</li><li>Once pressed, you'll be redirected to a Xero login screen.</li><li>Log in with your Xero credentials</li><li>Authorise Shiftly to access your Xero organisation</li><li>Once authorised, you’ll be redirected back to Shiftly</li><li>Your Xero account will now be securely connected to Shiftly.</li><li>Click ‘Save’ to confirm the connection</li></ol>

Now that your Xero account is connected, you’ll need to map each Xero organisation to its corresponding Shiftly business. This ensures timesheets and employee data are routed correctly.

<ol><li>Locate the Xero organisation you'd like to map</li><li>Open the dropdown under ‘Shiftly business’ and select the matching business</li><li>Repeat for any remaining organisations</li><li>Click ‘Save’ to finalise the mapping</li></ol>

<h6>Option 1: Auto-create a Shiftly business</h6>

<ol><li>Click ‘Auto-create business’ next to the Xero organisation</li><li>In the modal, select the relevant <a href="https://services.fairwork.gov.au/find-my-award" rel="noopener noreferrer" target="_blank">industry awards</a> (you can select multiple)</li><li>Click ‘Yes, auto-create business’</li><li>Repeat for any additional unmapped organisations</li></ol>

<h6>Option&nbsp;2: Manually create a Shiftly business</h6>

<ol><li>Click the three-dot menu next to the Xero organisation</li><li>Select ‘Manually create business’</li><li>Follow the steps in the modal to complete setup - For help, refer to our <a href="https://www.shiftly.au/resources/setting-up-a-business" rel="noopener noreferrer" target="_blank">Setting Up a Business</a> guide</li><li>Repeat for any remaining businesses</li></ol>

⚠️&nbsp; &nbsp;Any unmapped organisations will not be connected to Shiftly.

<h5>Step 3: Select your pay frequency</h5>

Shiftly pulls your available pay frequencies directly from Xero to export timesheets in alignment with your Xero pay runs.In most cases, your organisation will have one default pay cycle already set up. However, if multiple pay frequencies exist in your Xero account, you’ll need to select the one you want Shiftly to use when exporting timesheets.

<ol><li>Review the pay frequency detected from your Xero setup</li><li>If more than one is listed, select the appropriate frequency for this business (e.g. weekly, fortnightly)</li><li>Confirm your selection</li><li>Press ‘save’.</li></ol>

<h5>How to disconnect a business from Xero</h5>

Disconnecting your Xero organisation is quick and can be done at any time from the integrations page.

To complete this step, start by navigating to <a href="https://host.shiftly.au/integrations" rel="noopener noreferrer" target="_blank">host.shiftly.au/integrations</a> or

<h5>Importing Xero employees into Shiftly</h5>

If you’ve connected your Xero account to Shiftly, we recommend importing your employee list first. This prevents duplicate records and saves time.

To import from Xero:

<ol><li>Click the ‘Add employees’ button in the top-right corner</li><li>Select ‘Import from Xero’ (If disabled, <a href="https://www.shiftly.au/resources/set-up-your-xero-integration" rel="noopener noreferrer" target="_blank" style="color: rgb(208, 2, 27);">connect your Xero organisation</a> first)</li><li>In the modal, select the employees you want to import</li><li>Click ‘Import’ to confirm</li></ol>

To confirm successful import, locate the employee in your People table and check that their status is marked ‘Synced’ on the right.

⚠️&nbsp; Disconnecting your Xero integration will hide employee information from your account.

If you don’t use Xero or want to avoid Xero connection fees, you can manually add employees to Shiftly.

To add an employee manually:

<ol><li>Click the ‘Add employees’ button in the top-right corner</li><li>Select ‘Add employee manually’</li><li>You'll be redirected to a ‘Add new employee’ page where you need to complete the employment details form</li><li>Click ‘Save employee’</li></ol>

You can choose to onboard employees into Xero later by selecting ‘Send onboarding request’ from the People table. This sends a digital form to the employee to complete their personal and tax details. <h5>Add and onboard employees into Xero</h5>

Shiftly offers paperless employee onboarding directly into Xero for $7 per employee. This process allows employees to enter their own tax, super, and bank details — no paperwork required.

To edit an employee's details:

<ol><li>Find the employee in the Employee table</li><li>Click the dropdown arrow next to their status</li><li>Edit the fields you need in the employment details form</li></ol>

⚠️&nbsp;&nbsp;If the employee is synced with Xero, any changes made here will instantly update in Xero as well. Please double-check your edits before saving.

Adding or managing employees

Start by navigating to <a href="https://host.shiftly.au/positions" rel="noopener noreferrer" target="_blank" style="color: rgb(208, 2, 27);">host.shiftly.au/positions</a> or

<ul><li>Click ‘Positions’ in your navigation menu</li><li>On the ‘Your positions’ screen, press ‘Add new position;</li></ul>

Start by entering the key details for this position.

<ol><li>Search for the relevant position name</li><li>If you use a unique or internal name for this role, enter a nickname</li><li>A default description will appear based on the selected position — feel free to edit it to suit your venue (see tips below).</li><li>By default, this position will appear on the scheduler. To hide it, uncheck the box</li><li>Click ‘Continue’ to move to the next step</li></ol>

<h6>Tips for describing your positions</h6>

Writing a clear position description helps ensure the right people apply and understand what’s expected. Keep it concise, but informative.

<ul><li>Focus on core responsibilities (e.g. greeting customers, preparing drinks, handling bookings)</li><li>Include any special requirements (e.g. RSA certificate, barista experience, late-night availability)</li><li>Mention the type of service or pace (e.g. casual dining, high-volume, premium cocktail service)</li><li>Outline key soft skills if relevant (e.g. teamwork, attention to detail, calm under pressure)</li><li>Avoid jargon or overly broad terms — be specific to your venue's style and needs</li></ul>

A wage modifier lets you increase the pay rate above the award minimum for this position. Offering slightly higher rates (e.g. +$1–2/hr) can make your position more attractive and help you reach a wider pool of applicants, including those with higher experience or Shiftly ratings. For example, if the award rate range for a barista is $28–$30/hr, adding a $2 modifier will increase the range to $30–$32/hr. Applicants will see a flat hourly rate based on their age and classification.

<h5>Step 3: Enter the qualifications required</h5>

Adding required qualifications helps ensure you're attracting applicants who meet the baseline legal or safety standards for the role. This is especially important for positions that require RSA, RSG, food safety, or first aid certifications.

⚠️&nbsp; While this step helps filter applicants, you are still responsible for verifying their documents manually through their profile.

To edit a positions details:

<ol><li>Find the position template in the Positions tab</li><li>Click the pen icon under actions</li><li>Edit the fields you need in the position details modal</li></ol>

⚠️&nbsp; Any changes made here will cancel any public or accepted shifts. We recommend adding a new position to avoid complications with applicants.

Shiftly allows you to onboard employees directly into Xero using our paperless, automated process. This ensures all employment details are correctly collected, synced, and ready for payroll — no paperwork required.

Start by entering your employee’s employment details.

<ol><li>Click the ‘Add employees’ button in the top-right corner</li><li>Select ‘Add and onboard into Xero’ - If this is disabled, you need to connect your Xero organisation first.</li><li>You’ll be taken to the ‘Onboard new employee’ page</li><li>Complete the employment details form</li><li>Click ‘Send invite’ to begin onboarding</li></ol>

<h5>Step 2: Wait for your employee to complete their onboarding form</h5>

The employee will receive an email with a secure link to complete their onboarding. They’ll be asked to submit details such as their tax file number, superannuation, and bank account information.

Once your employee has completed their onboarding form:

<ul><li>You’ll receive a notification in Shiftly</li><li>You’ll also receive a confirmation email</li></ul>

<ol><li>Go to the ‘People’ tab</li><li>Locate the newly onboarded employee — their profile will now be active and synced with Xero</li></ol>

👉&nbsp;&nbsp;What does ‘Sync user’ mean?If you ever see a ‘Sync user’ button on an employee profile, this means data has been changed in Xero. Clicking it will pull the most up-to-date employment information back into Shiftly.

 Onboarding new employees with Xero

<ol><li>Open the account dropdown in the top-right corner of your dashboard</li><li>Select ‘Account management’</li><li>On the Account Management screen, press ‘Super Users’</li></ol>

A super user has access to all businesses and venues within your Shiftly account. Super users can also;

<ul><li>Create and manage shifts across multiple locations</li><li>Onboard new staff and assign roles</li><li>Oversee scheduling and operations across multiple businesses</li><li>Help shape how your organisation runs day-to-day on Shiftly</li></ul>

⚠️&nbsp;&nbsp;Only grant this access to individuals you trust to manage your organisation.

If your organisation requires a super user, you can invite them from the Super Users screen.

To add a super user:

<ul><li>Go to the ‘Super Users’ screen</li><li>Click ‘Add super user’ in the top-right corner</li><li>Enter their first name, last name, and email address</li><li>Click ‘Send invite’</li></ul>

What happens once I press ‘Send invite’?

<ul><li>The invitee will receive an email immediately</li><li>They’ll need to create a Shiftly account and connect to your organisation</li><li>Once connected, they’ll have full access to support in managing your business</li></ul>

Add or manage super users

Start by navigating to <a href="https://host.shiftly.au/business-account/locations" rel="noopener noreferrer" target="_blank">host.shiftly.au/business-account/locations</a> or click the pen icon next to locations in your navigation menu.

OR click the&nbsp;pen icon&nbsp;next to the location you would like to edit in your navigation menu.

If your business operates from more than one venue or you’d like to separate areas within the same venue (e.g. Kitchen, Floor, Upstairs Bar), you can add additional physical locations.

⚠️ If adding multiple locations within the same venue, you’ll need to use the same address for each.

<h5>Add or change your location’s name</h5>

This is the name that will appear in your rosters, scheduler, and timesheets.By default, your first physical location will have been named after your business. Here is where you can edit this to better reflect the space (e.g. Shiftly Upstairs Bar or Shiftly Queens Street).

Upload a high-resolution version of your business logo for a horizontal format.

Upload requirements:

<ul><li>Aspect ratio: 2:1 (width:height)</li><li>Recommended size: 800 × 400 px</li><li>File format: PNG or JPG (transparent background preferred)</li><li>Maximum file size: 500 KB</li><li>Colour: Use a coloured or dark version of your logo. White is not accepted.</li></ul>

📌 Tip: Ensure the logo is clear and legible at small sizes. Avoid uploading large, high-resolution print files — Shiftly is optimised for screen display only.

<h6>Secondary Logo:</h6>

The secondary logo is a circular version of your brand (e.g. a brand mark or symbol) and is shown on your location profile and in smaller UI elements across the platform.

<ul><li>Aspect ratio: 1:1 (square, displayed in a circle)</li><li>Recommended size: 400 × 400 px</li><li>File format: PNG or JPG</li><li>Maximum file size: 300 KB</li><li>Colour: Use a coloured or dark version of your logo. White is not accepted unless uploaded on a dark backgroud.</li></ul>

📌 Tip: Use a simplified version of your logo or symbol. Avoid detailed or text-heavy designs, which won’t be legible at small sizes.

<h5>Add or change your workplace description</h5>

Provide a short description of the location or work environment. This helps staff know what to expect and makes your listing more attractive to potential shifters.

Tips for writing your description:

<ul><li>Mention what type of work is done here (e.g. bar service, front-of-house, food prep)</li><li>Include any unique qualities or expectations (e.g. fast-paced, casual dress, team-focused)</li><li>Highlight any regular shift patterns or peak hours</li><li>Add info on transport access or parking</li><li>Keep it concise and relevant</li></ul>

If the physical address of your location has changed, or if you need to correct an error, you can update it here.

<h5>Add or change images of your workplace</h5>

Upload photos that show your space to help workers get familiar with the environment before arriving. Ideal images include:

<ul><li>Entryway or exterior signage</li><li>Key zones (e.g. kitchen, floor, bar)</li><li>Staff break areas or uniforms</li><li>Current staff members</li><li>Safety signage or notices</li></ul>

<ul><li>Aspect ratio: 1:1 (square display)</li><li>Recommended size: 600 × 600 px</li><li>File format: JPG or PNG</li><li>Maximum file size: 800 KB</li></ul>
